[BHS Etree] ETREE: Frequently Asked Questions About BHS ETree

BHS Etree bhs at lists.lmi.net
Mon Sep 11 07:57:57 PDT 2023

*PLEASE do not reply to this email,* contact BHS E-tree Moderators at
bhs-owner at lmi.net if you have any questions.

*IF YOU NEED TO UNSUBSCRIBE* FROM THE ETREE, SCROLL DOWN A FEW PARAGRAPHS
AND READ THE STEPS CAREFULLY!

Your BHS E-tree volunteer moderators warmly welcome (back) both our new and
long-time subscribers!

The E-tree is a valuable source of information for notices about school
events and activities. The E-tree is funded by the Berkeley High Parent
Teacher Student Association (PTSA) and is operated by four parent volunteer
moderators.

*RESPONDING*

If you have a question about an E-tree posting, *please do not hit reply* but
direct your message to the contact person who is listed at the top of the
posting. Because our role is to post the announcements we receive, we won’t
have answers to the questions you have about a particular announcement.

*SUBSCRIBING, UNSUBSCRIBING, AND OTHER FEATURES*

To subscribe to the E-tree, or unsubscribe from it, send an email to
bhs-request at lmi.net with* only* the word ‘subscribe’ or ‘unsubscribe’ in
the subject line, just that one word, nothing else! *The system will send a
confirmation email*; the subscription or unsubscription will not be
complete until
you follow the link in that email and confirm that you want to subscribe or
unsubscribe. *Tip:* Check your spam folder if you do not see the
confirmation message shortly after you subscribe/unsubscribe!

*Important: *unsubscribe requests must be sent from the email address you
used to subscribe originally; your request will not be processed if you are
having your messages forwarded to another email address and you try to
unsubscribe from that email address.

If you no longer have access to your original email address, please use the
web URL instead, as described in the next paragraph:

There is a web page for managing the way you receive your messages,
unsubscribing, and certain other features. If you receive each message
individually, the URL for you is included at the very bottom of each
message. If you receive the digest version, or don't have a recent email
from the list, you may access this options page using the following URL:
http://lists.lmi.net/mailman/options/bhs/<emailaddress>
<http://lists.lmi.net/mailman/options/bhs/%3cemailaddress>; just replace
"<emailaddress>" with the email address that is subscribed to the list.
This is also useful if you receive list emails via forwarding but are not
able to send email from the subscribed address. For example, if your email
address is jacketfan at gmail.com, you would use
http://lists.lmi.net/mailman/options/bhs/jacketfan@gmail.com
<http://lists.lmi.net/mailman/options/bhs/jacketfan@gmail.com>

*Moderator Contact:* If you are unable to access this page, can’t make the
change you want, can’t subscribe or unsubscribe successfully, or are having
other problems with the list -- we are here for you! Please email us at
bhs-owner at lmi.net, and we will help you.

*FORWARDING*

Please be careful when you forward an E-tree message -- sometimes our
subscribers accidentally use REPLY instead of FORWARD, resulting in us
receiving personal messages that subscribers did not intend to share, so
here is your friendly reminder to double check that you are forwarding
messages instead of replying to us.

*MANAGING THE HIGH VOLUME OF MESSAGES*

On a normal school day the E-tree can send up to four or five postings. At
the beginning and end of the year it can be double that. We have several
suggestions for managing the high volume of email:

a. Delete. The content of each posting is clearly stated in the subject
line. If the item is not of interest to you, we encourage you to delete it
- we will not be offended.

b. Set up a separate folder for E-tree messages. Opening the folder on a
daily basis, you can quickly scan the postings and decide which ones you
want to open and read.

c. Finally, a digest version is available. The digest collects all E-tree
postings and sends them out in batches, either daily or twice a day. This
sounds better than it is. The digest messages are strung together in one
long posting. To read the day's information it is necessary to scroll down
through everything. Attachments are not included in the digest. Often, the
messages are a day late. However, if you are still intrigued by the digest
and you did not check the digest option when you subscribed to the E-tree,
you may change to digest mode using the ‘options’ page, as discussed at the
beginning of this post under “SUBSCRIBING, UNSUBSCRIBING, AND OTHER
FEATURES.”

*ARCHIVES*

All E-tree postings are archived here: http://lists.lmi.net/pipermail/bhs/.
If you lose this link, never fear, it’s included at the bottom of each
message!

*POSTING ANNOUNCEMENTS*

To post announcements, send your post (following the guidelines below) to
bhs at lmi.net.

The E-tree is moderated, so when you send your announcements for posting we
will first check for accuracy and appropriateness prior to posting. The
E-tree is used for administrative notifications and announcing BHS- and
BUSD-sponsored activities only. It is not an advertising or community forum.

You can email the moderators at bhs-owner at lmi.net to ask us questions prior
to posting notices, but you don’t need to do so if you simply want to
submit an announcement for posting.

*Please read these additional important guidelines on postings:*

– We limit postings to BHS- and BUSD-sponsored events and notices. If you
have information that you believe would be of interest to the
parent/student community at BHS, but it is not specifically a BHS item, we
suggest that you submit your information to the Parents of Teens
newsletter, which can be found at the following website:
https://www.berkeleyparentsnetwork.org/faq/teens
<https://www.berkeleyparentsnetwork.org/faq/teens>.

– Use a descriptive subject line for your message in the subject line of
your email (you don’t need to say “please post”). It should clearly state
what the message is about. The line may be edited by the moderators for
brevity, and we will add a "tag" (SPORTS, CLUBS, etc.).

– Always include contact information at the top of every message (e.g.,
Contact: John Jacket at johnjacket at berkeley.net).

– Please check your message for accuracy and details (dates, names, links,
spelling, room numbers, etc.) before sending.

– Send your message early! Please note that it can take the moderators
24-48 hours to complete the final posting, so be sure to allow enough time
for getting your notice out. We are parent volunteers who juggle our jobs
and family responsibilities with our E-tree work; we post items as soon as
we are able, but cannot guarantee an immediate response. We also need to
allow time to contact you if there are any necessary clarifications to your
announcement.

– Due to the high volume of information we are requested to post, we post
most items only once.

– Please note that we reserve the right to edit your post to ensure it fits
within our guidelines, for clarity, or for another reason.

– Corrections may be posted for inaccuracies in the original post if deemed
relevant, but changes cannot, under any circumstances, be made to the BHS
Etree archives.

*ALLOWED FREQUENCY OF POSTINGS*

*CLUBS:* Information targeted to students may be posted once per club per
school year; information meant for parents may be posted once per meeting.

*MEETINGS: *Meetings targeting parents and/or parents and their students
may be posted up to two times maximum with at least seven calendar days
between postings.

*EVENTS:* BHS-Specific events like concerts, plays and school-wide
celebrations may be posted up to two times maximum with at least seven
calendar days between postings.

*FUNDRAISING:* Okay to post if directly providing funds to a BHS program.
We will post a fundraising item ONCE when it is from a group that doesn't
have its own E-tree or team email list. Even if the group does have its own
list, we will post ONCE if it benefits the entire school (e.g. BAF, Jacket,
BHSDG, etc.). We reserve the right to post some fundraisers more than once
(2-3 times maximum) - like Mrs. Dalloway’s benefit for BHSDG. We will not
include logos for outside businesses.

*EXCEPTIONS:* We don’t usually monitor how many times an event gets
announced when it is embedded in other items we regularly post like
COLLEGE/CAREER announcements, SPORTS announcements, STUDENT ACTIVITIES
announcements, STUDENT BULLETIN announcements or VOLUNTEER announcements.

When the BHS E-tree is closed (Thanksgiving, Winter, Spring, and Summer
breaks) we will only post urgent or time sensitive messages if we are able
to do so.

Note: The BHS E-tree Moderators reserve the right to modify these policies
when circumstances warrant.

*TIMELINESS OF ANNOUNCEMENTS*

As we mentioned, we do our best to post items as soon as we possibly can.
We cannot, however, control when items are submitted to us. Occasionally,
we receive notice of an event or meeting quite close to the time it is
actually happening. We usually err on the side of posting such
announcements, assuming that subscribers will want to know about them,
although we understand the frustration that comes with not being provided
sufficient lead time.

*OTHER EMAIL LISTS*

We believe that everyone at Berkeley High should subscribe to the BHS
E-tree. In addition to the BHS E-tree, most of the small learning
communities operate their own email lists featuring information of specific
interest to their students/families.

Below are websites where you can find more information and contacts for
each learning community (we have no control over how often these websites
are updated):

*WHO ARE WE?*

Finally, we would like to introduce ourselves. The BHS E-tree is moderated
by parent volunteers. Volunteering for the E-tree can be rewarding but also
demanding – we do our best and appreciate your patience.
